KEY RESPONSIBILITIES

HUMAN RESOURCES

  • Employee on/offboarding, coaching, and mentoring Staff.

  • Creating employment contracts and new hire packages, organizing training for employees.

  • Tracking of safety certifications and apprenticeship information.

  • Group Benefits administration through Sunlife.

  • Biweekly payroll of hourly and salaried staff through Deluxe Payroll.

  • Managing biweekly expense reports and employee allowances.

  • COVID-19 protocol management.

EXECUTIVE SUPPORT

  • Creating documents, forms, policies, and contracts.

  • Calendar management and keeping the CEO on track.

  • Ordering of office and cleaning supplies.

  • Supervision and scheduling of office assistants.

  • Event planning; organizing staff and customer parties.

ACCOUNTS PAYABLE/RECEIVABLE

  • Overseeing the accounting email account.

  • Open communication with vendors regarding payable schedules.

  • Entering Purchase Orders into QuickBooks.

  • Receipt of vendor invoices, matching them against purchase orders, and entering bills into QuickBooks for payment.

  • Processing of payments to vendors via EFT, One-Off Disbursements, and E-Transfers.

  • Receipt of monthly vendor statements and reconciling them against what has been received.

  • Completing vendor credit apps and account set-up.

  • Preparing payable reports by job and vendor, communicating payment status with vendors.

  • New customer onboarding and account set-ups.

  • Creating invoices and statements in QuickBooks.

  • Accepting customer payments via cheque, EFT, e-transfer, credit cards, and pre-authorized debits.

  • Cashflow Planning.

  • Collection calls.

BOOKKEEPING

  • Monthly bank account reconciliations.

  • Monthly credit card reconciliations.

  • Entering recurring transactions in QuickBooks.

  • Producing various financial reports from QuickBooks.

  • Design of invoices, purchase orders, sales order templates in QuickBooks.

PROJECT ADMINISTRATION

  • Communication with General Contractors, Project Managers, and Accounts Payable teams.

  • Creation of Project Kick-off packages to General Contractors.

  • Issuance of Letter of Award and Sub-subcontractor contracts to sub-contractors.

  • Familiarity with Canadian Construction Association (CCA) Contracts.

  • Familiarity with the Builders Lien Act.

  • Monthly Progress billing, Holdback billing, and Time and Material billing.

  • Tracking of all base contracts, change orders and subcontract revisions for billing.

  • Downloading and issuing of WCB Clearance Letters.

  • Issuance of Certificate of Insurance (COI’s) to clients.

  • Creation of Statutory declarations to be notarized.

  • Familiar with construction cost coding systems.

  • Preparation of reports on labour and material spend.

  • Overseeing project budgets.

  • Completion of project closeout audits.

REQUIRED SKILLS

  • 3-5 years of office experience, within the construction Industry.

  • 3-5 year QuickBooks (Online) bookkeeping experience

  • Strong communication and interpersonal skills

  • Strong organizational and time management skills

  • Proficient in Microsoft Office (Word and Excel)

  • Proficient with Google (Gmail, Drive, Admin Accounts)

  • Bluebeam Revu experience considered an asset.

  • Sitemax and Service Titan Experience considered an asset.

  • Panda Doc experience considered an asset.

  • Accounting/Business Degree Preferred.

  • Drivers Licenses & Vehicle.
